ELCS privacy

Privacy Notice

Effective date: 17 October 2026

Erica’s Laundry & Cleaning Services, referred to here as ELCS, handles the personal information you share when asking about or booking our services, or applying for a role. This notice explains what we receive, how we use it, who may see it and how to contact us about your information.

1. Who is responsible

Erica’s Laundry & Cleaning Services determines how customer information is used for its services. For a privacy question or request, email info@ELCSJA.com or send a message to +1 (876) 919-4231. We may ask for enough information to verify that a request concerns your own records before sharing or changing them.

2. Information we receive

Depending on the service, we may receive your name, phone number, email address, service address or general area, preferred date, property size and condition, Airbnb listing or guest window, access instructions, garment or laundry details, dry intake weight, grouped quantities or piece counts, receipt and ready times, care instructions and condition notes, and messages or photos you choose to send. If you apply for a role, we receive the CV, qualifications, contact details and other application information you choose to email us. When you book or pay, we also keep the quote, booking and payment status, invoices or transfer references, service notes, and records needed to resolve a concern.

Hosts should avoid sending guest identity documents or other guest details that we do not need for a turnover. Please avoid including sensitive personal information in a quote request unless it is needed for a specific service, such as a product allergy or safety instruction.

3. How we use the information

We use the information to respond to enquiries, prepare quotes, confirm and carry out bookings, arrange access and travel, communicate with customers and hosts, process and record payments, document the condition of a property or garment, address service concerns, maintain business records, and meet legal obligations. We also use job application details to assess candidates, contact applicants, arrange interviews and make hiring decisions. We use information relevant to a service only for those purposes or another purpose explained to you when it is collected.

We do not sell customer information. We do not add you to promotional messages merely because you requested a quote. If we ask to send marketing, you can decline or later ask us to stop.

4. Website, Setmore, WhatsApp and email

The website includes a short quote form and detailed Property Care request forms. If you choose Send request to ELCS, your contact details, service request, page/source label and any photos you attach are submitted to our hosted enquiry database and private file storage through ChatGPT Sites. A receipt reference is shown only after the request is saved. Authorised ELCS staff review requests through a sign-in-protected inbox. This does not confirm a booking or payment. If you choose WhatsApp instead, the site prepares a message for you to review and send through WhatsApp; attach any photos there separately. The Careers form still prepares an email, and your application is submitted when you send that email and any CV attachment from your email app. External providers also handle information under their own privacy terms.

We use Setmore to receive appointment requests and record accepted intake appointments, service charges, payment status and order notes. Only relevant order and care information is included in these records. A requested time is still subject to ELCS confirmation. We may communicate through WhatsApp or email about the quote, booking and service. This website does not ask for payment card details or process a payment on its service pages. Payment arrangements are provided separately with the confirmed quote. If you request and receive a Fygaro payment link, you enter your card details on the payment provider’s secure page, under its own privacy terms. Please do not send card numbers or security codes through email or WhatsApp. ELCS keeps the payment confirmation and transaction reference needed for your service records.

Our website is hosted through ChatGPT Sites. The hosting service may receive technical information needed to deliver the site, such as an IP address, device or browser information and request logs. Its built-in analytics records page views and unique visitor counts, which ELCS can review as traffic totals, trends and page-level reports. These traffic reports are separate from enquiry messages, booking confirmations and payment records. We also count saved website enquiries and clicks to WhatsApp or Setmore in aggregate by page and date. These event counts contain no names, phone numbers, form answers or photo contents, and a click does not confirm a message, booking or payment. No visitor tracking cookie is added by this feature. Temporary anti-abuse records use a keyed hash of the network address where available, rather than storing the raw address in the enquiry database. Aggregate event rows are trimmed to 90 days when new events arrive. This site does not currently use an ELCS advertising tracker or require an account to read it. Quote messages may include the ELCS page name and a short campaign label from the link you followed, when available. You can review or remove these labels before sending. They do not include your form answers in a separate analytics report. We use labels received with enquiries to understand where those enquiries came from. The optional Property Care preparation checklist works only on the page and does not submit your selections to ELCS. If we add separate advertising or conversion tracking, cookies or new booking or payment tools, we will update this notice before using them.

5. Who may receive information

We share only information needed for a job with assigned ELCS staff, such as the address, access instructions, service checklist and relevant safety notes. Service providers used for scheduling, communications, email, website hosting or payment records may process information needed to provide those functions. We may also share information where required by law or reasonably necessary to handle a dispute or protect people and property.

Some of the services you choose, including Setmore and WhatsApp, may process information outside Jamaica. Their own privacy notices describe their locations and practices. We take the sensitivity of addresses, access instructions and property photos into account when choosing what to share through these services.

6. Property and garment photographs

We may take or receive photos to assess a quote, record visible condition before and after work, confirm a turnover, or investigate a concern. Laundry condition photographs may show stains, missing trim, loose seams or the packed order. Staff should limit photos to what the service requires and avoid unrelated personal items, faces and documents. We will not publish identifiable photos of your property, guests, belongings or garments for marketing without separate permission. A host’s request for completion photos is used for that host’s service record.

7. How long we keep information

Enquiries that do not become a booking are normally kept for up to 12 months after the last contact. Temporary access codes are removed from active service records after the job, or when an ongoing property arrangement ends. Service photographs are normally kept for up to 12 months after a job; booking and service records for up to three years after the last service; and invoices and payment records for up to seven years. We may keep a record longer where a legal requirement, unresolved payment, complaint or claim makes that necessary.

Recruitment applications are kept only as long as reasonably needed for the hiring process and related recordkeeping, then removed or anonymised, unless you agree to be considered for a future role or a legal obligation requires longer retention. We review records periodically and remove or anonymise information when it is no longer needed for these purposes. If a record is held by Setmore, WhatsApp, email or another provider, its technical backup and deletion arrangements may also apply. You can ask us about the expected retention of a particular record.

8. Keeping information safe

We limit customer information to people who need it for their duties and use reasonable safeguards for devices, accounts, records and access instructions. No online service can guarantee absolute security. If you believe an access code or information you shared with us has been exposed, contact us promptly so we can investigate and take appropriate steps.

9. Your choices and rights

You may ask what personal information we hold about you, request access or correction, object to certain uses, or ask us to delete information that we no longer need, subject to applicable Jamaican law and necessary business records. Email info@ELCSJA.com with “Privacy Request” in the subject or message us on WhatsApp. We may need to verify your identity and clarify the request before responding.

If you are unhappy with our response, you may contact Jamaica’s Office of the Information Commissioner about a personal data concern.

10. Changes to this notice

We may update this notice when our services, booking tools or information practices change. The effective date at the top shows when this version applies. For our booking and service rules, read the Service Terms and Conditions.

Website enquiry records and uploaded photos

Photos uploaded with an enquiry are kept in private storage and can be retrieved only through authorised staff access. Staff are prompted to review unconfirmed requests after 90 days and delete those no longer needed. This is a review period, not an automatic deletion guarantee. Deleting an enquiry in the team inbox also deletes its uploaded photos. Records needed for an accepted service, financial reporting or a concern follow the applicable business retention arrangements. You can contact info@elcsja.com to ask about your information or request deletion where applicable.

The direct form uses a short-lived security token, a hidden spam check, request-size limits and submission-rate limits. Supported photo types are JPG, PNG and WebP, up to three photos per request and 3 MB per photo. Please avoid sending identity documents, payment card details, faces or unrelated private material.
